Time Off & Leaves:: Unpaid Leave

Purpose: To provide unpaid time off so employees can manage personal affairs that are not covered under any other type of leave, such as vacation or FMLA

Policy

However, sometimes personal circumstances require an absence from work that extends beyond available vacation time and paid time off (PTO). St. Norbert allows faculty and staff to request unpaid personal leaves for these special circumstances.Procedure
You may request an unpaid personal leave of absence to take care of pressing personal needs if all of your other leave balances have been exhausted. The leave may last up to 60 calendar days in any rolling 12-month period, unless additional time is required by law.If your leave lasts 60 days or less, the college will attempt to hold your position for you. In addition, your health benefits will continue in the same manner as prior to your leave. However, prior to departing for your leave, you will need to remit payment for your portion of the health insurance premium in an amount equivalent to your expected period of absence. If you’re requesting a leave longer than 60 days, you’ll be advised of your insurance-continuation rights.
An intermittent unpaid leave is not permitted, unless such leave has been approved as a reasonable accommodation related to a disability. You also may not take unpaid leave in order to accept employment elsewhere. Doing so constitutes a termination of employment with the college.
Your supervisor, in conjunction with Human Resources, has discretion over whether or not to grant your leave request. The decision will depend upon the circumstances surrounding your leave request, the specialization or critical nature of your position, and the practicality of replacing your role for a temporary period. If your supervisor approves your leave request, this constitutes an agreement by the department to return you to the same position, or to a comparable position at a pay rate not less than your former rate, contingent upon the availability of funds.
Applying for Unpaid Personal Leave
Request unpaid personal leave from your supervisor in writing, sending a copy to the assistant vice president of human resources. Please indicate the reason for the leave and the length of time you’re requesting.
Your supervisor will review the request, considering the following factors:
- Purpose for the leave
- Length of time you’ll be away
- Effect of the leave on the department’s ability to carry out its responsibilities
- Quality of your performance prior to your request
Vacation and PTO do not accrue during unpaid personal leaves.
